Build And Send Proposals

Use this guide when you need to create, edit, preview, send, or resend a proposal.

Create A Proposal

  1. Open Proposals.
  2. Select New proposal.
  3. Choose an existing client or enter a new client.
  4. Add a title and summary.
  5. Select existing services, add manual services, or use an available proposal template.
  6. Add any service add-ons.
  7. Create the proposal.

ScopePilot opens the proposal editor after creation, or a preview during first-run onboarding.

Edit The Proposal Basics

Open a draft proposal and use Overview to update:

  • Proposal title
  • Expiry date
  • Short summary
  • Proposal owner

Only unlocked draft proposals can be edited directly. Approved proposals are locked and must be revised into a new version before client-facing changes are made.

Edit Scope And Pricing

Open Scope & pricing to review:

  • Total price
  • Estimated cost
  • Gross profit
  • Gross margin
  • Target margin
  • Margin status

Use the line item table to edit service names, descriptions, pricing models, quantities, prices, and estimated costs. ScopePilot recalculates margin from the edited proposal economics.

Edit Client-Facing Content

Open Proposal content to edit sections such as summary, services, timeline, payment schedule, acceptance criteria, revision limits, assumptions, exclusions, change requests, and terms.

Internal notes are not included in the client proposal view.

Add Client-Selectable Options

Open Client-selectable package options from the proposal content area.

You can configure:

  • Option group title and description
  • Whether a client choice is required
  • Minimum and maximum selections
  • Up to three visible package options with labels, descriptions, and price deltas

Client option selection is recorded separately from proposal approval.

Preview Before Sending

Select Preview from the proposal editor or proposals list.

Preview mode shows the client-facing proposal layout while keeping the proposal private to your authenticated workspace. Draft previews are marked as drafts.

Send A Proposal

  1. Open the proposal.
  2. Go to Send & reminders.
  3. Confirm the recipient email.
  4. Review the proposal link field.
  5. Confirm that the proposal is ready to send.
  6. Select Send proposal.

ScopePilot requires the proposal to have a client, recipient email, at least one service, a positive price, healthy or dismissed margin status, a client-facing summary, and an expiry date before sending.

Resend A Proposal

After a proposal has been sent, use Resend proposal from the proposal editor or send drawer.

Generate A PDF

Open the proposal editor and use Generate PDF or Print / save as PDF. Ready exports can be downloaded from the proposal activity area.

Duplicate Or Archive A Proposal

Use More from the proposal editor or proposals list:

  • Duplicate creates another proposal from the same structure.
  • Archive removes the proposal from active work without deleting the historical record.
