Handle Approvals, Revisions, And Change Orders
Use this guide after a client receives a proposal link.Review Client Activity
Open a proposal and select Activity.
The activity area shows lifecycle events such as proposal status changes, views, reminders, comments, and approval records when available.
Respond To Client Questions
Clients can ask a question from the public proposal page. Submitted questions appear in the proposal activity area.
For each question, update the status to:
- open
- answered
- resolved
- archived
Review Approval Records
After approval, the proposal page and editor show approval details. Approval records include the approver name, email, timestamp, proposal version, and related audit details.
Approved proposals are locked for editing. This preserves the version the client approved.
Create A Revision
Use Create revision or Revise when a sent, approved, or expired proposal needs client-facing changes.
Revisions keep prior approval history while allowing a new proposal version to move forward.
Create A Change Order
Use change orders when scope changes after a proposal has been sent or approved.
- Open the proposal.
- Go to Activity.
- Open Change orders and revisions.
- Enter a title, total price, summary, changed scope, and terms.
- Select Create change order.
Send A Change Order
From the same change order area, select Send change order for a draft change order.
The client-facing change order page shows the original proposal, proposal version, status, total, and changed sections.
Approve A Change Order
The client opens the change order approval page, enters name and email, confirms approval, and submits the form.
ScopePilot records the change order approval separately from the original proposal approval.
